Q: What is a serviced office or managed workspace?

A: Serviced offices deliver absolute flexibility – you can move into a serviced office location within days (faster if necessary) of viewing the space and agreeing on contract terms. You have the flexibility to increase or reduce the amount of space you require according to your business needs. Licence agreements are typically offered from periods of just one month upwards. Serviced offices are furnished offices and most include utilities (electricity, water, heating), cleaning, service charges, buildings insurance and maintenance costs. Usually, this is reflected in an all inclusive monthly licence fee. Managed Workspace generally means light industrial space/units offered on easy in easy out flexible terms. 

Q: What is a Licence Agreement?

A: A licence agreement is an easy to understand document that does not require a Solicitor. It sets out the terms of your occupation of the space and what is included. Licence agreements in the main offer flexible terms however, the minimum term may vary between office space providers, but generally speaking it is 3 months.

Q: What is a ‘workstation’?

A: A ‘workstation’ is the amount of space allocated to one person. This does vary from one serviced office provider to another. Workstation space may fluctuate, but generally the space for one workstation is approximately 75 square feet or 7 square metres. A single workstation usually includes a desk, chair and telephone; workstations can often be arranged and set up to meet your needs and preferences so you can have the best possible set-up to meet your requirements. Sometimes it is possible to take space on square footage rather than a workstation basis.

Q: Do all flexible space have Broadband or WiFi?

A: Generally, most flexible space providers offer broadband internet access as part of their standard package. However, there may be an extra charge in addition to the monthly licence fee. Flexible space providers may offer a variety of broadband packages, ranging from dedicated high-speed bandwidth connections to standard internet packages. If you have a specific IT requirement or questions you should discuss this when making your appointment to view the offices.

Q:When I speak to a serviced office provider what information will they need from me as an initial enquiry?

A: This depends on the operator but as a rule they will want to know a) how many people need to be accommodated b) if there are any special access needs and c) when you need to rent office space from.

Q: What is included in the monthly office licence fee and what, if any, are the additional monthly charges?

A: Again this will vary by operator but you may well have additional monthly charges which are known as ‘variables’. These may include, telephone calls, photocopying, hire of meeting rooms, refreshment service charges etc. Ask your chosen operator for a price list.

Q: Will I need to provide my own computer?

A: Generally speaking you will need to bring in your own computer. However, it may be possible for you to hire equipment – you need to discuss this with your serviced office or work space provider.

Q: Do serviced office providers have IT and technical support?

A: Technology issues are usually simple and straight forward to resolve. Flexible space is laid out in such a way as to ensure that technology concerns are easily resolved. However, if you do require specialist technical support, most locations are able to offer on-site help to assist you with setting up your office and for ongoing support.

Q: What is a virtual office?

A: A virtual office is ideal for businesses which require the impression and support of a permanent office without the associated costs. A typical virtual office package will include:

  • Use of a business mailing address
  • A dedicated local telephone number
  • Telephone call answering in your business name
  • Call forwarding and voice mail facilities
  • Packages signed for and mail forwarding
  • Access to touch down offices and meeting rooms
  • Secretarial, admin and business support services.

Virtual offices are therefore perfect for people who work from home or who are always on the move. They also enable businesses to test new Geo-markets – you get the appearance of a local office without having to commit to a lease.

Q: What are Mailboxes?

A: There are hundreds of mailbox locations across the UK and are ideal if you need an address for your general or registered business mail. Your post and packages can be stored or forwarded to you. Some operators also offer additional services such as printing. Find a mailbox service provider

Q: What are shared offices, touch down / hotdesk facilities?

A: Small businesses or individuals may only require one or two desks in an office. A shared office environment is perfect for this. You get a permanent workstation (often with lockable storage) that is shared with other business people. Sharing an office often results in great networking opportunities and as it’s good for budgets too as costs are shared. This service is very popular with startups and freelancers particularly as there are no longer term commitments.

Touchdown or hotdesk facilities offer access to a temporary desk, when you need it.
It might be that you need to work from a office one day per month – a hotdesk is perfect for you.

In both solutions you’ll usually have access to voice and data at your desk. These may be included or charged additionally. Taking shared space or touchdown facilities in a business centre environment allows you to benefit from the a wide range of paid-for services on offer (meeting room hire, photocopying, secretarial services etc).
